General Terms and Conditions 1.Payments - For hotel room bookings, the full cost applicable for the booked duration of stay must be paid in advance. 2.Check-out time for hotels is 12 noon - all hotel bookings are based on the above mentioned Check-out time until unless indicated specifically. 3.Our rates are based on the prevailing rates as negotiated by us with the hotels or any other service provider. These service providers retain the right to modify the rates without notice. In case of such changes, the rates quoted before the modification, can be changed by us according to the modifications required by the hotels or other service providers. 4.The tariffs are subject to revision. Tariffs applicable on the date(s) of stay will be charged. 5. We reserve the right to amend the terms and conditions of the Hotel Reservations, including its cancellation policy and other terms without any notice. 6.All itineraries are tentative itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. 7. We shall not be responsible for any delays & alterations in the programme or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents. 8We shall not be responsible for dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control. 9.We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Cancellation and Refund Policy
In the event of cancellation of tour / travel services due to any avoidable / unavoidable reason/s, we must be notified of the same through a cancellation request form available in the left pane menu visible after login. Cancellation charges will be effective from the date we receive advice in writing, and the remaining shall be refunded as described below:
7 or more days prior to arrival: 75% of the tour / service cost shall be refunded.
Less than 7 days but before 72 hours of check-in time / service time: 50% of the tour / service cost shall be refunded.
Less than 24 hours of check-in time or thereafter: NO REFUND. Bulk booking Bulk booking facility is available in the Orissa Tourism Portal. The payment will be made by a member in the group (of tourists/guests) using his/her credit or debit card. Bulk booking payment process is the same as the individual booking process except some in-between procedural differences (These in between procedural differences refer to the exchange of emails on the messaging service provided in the portal for negotiating the best possible rates before bulk booking & paying online). Similar to the individual booking, except the card related information no other information regarding the tourist/guest is collected at the time of payment and that also is collected through the interface of the payment gateway. But it is mandatory for the member who will make the payment for the bulk booking on behalf of the entire group to register in the Orissa tourism portal before any booking online. Moreover when the respective card (credit/debit) is issued from any bank, the card holder's identification related documents are collected and verified beforehand by the bank. So the card holder's identification related documents are already available with the issuing authority. Using the captured card details the identity proofs of the card holder can be collected at your end. So OTDC as the merchant is not collecting any document physically. After paying the amount if the tourists/guests for whatsoever reason do not avail the service/facility then it will be their financial loss. If the tourists/guests for whatsoever reason are unable to avail the service/facility then they can apply for cancellation. The application for cancellation will be done by the team leader who has made the payment for the bulk booking on behalf of the entire group. According to cancellation policy of OTDC they will get the refund. We’ll also authorize the concerned personnel at our properties and the hotels or any other accommodation service provider/any other service provider registered with us to collect some additional proof of ID from the team leader of the group.
ID proof of tourists/guests
The team leader will provide a detailed list of all the members in the group while checking in. ID proofs with photograph (Passport,Driving License,Pan Card,Voter ID Card,Employee ICard etc) will be collected from all tourists/guests booking through the portal. These would be collected while checking in at our properties and the hotels or any other accommodation service provider registered with us. These would serve as proof that the service was offered and accepted by the guests. We’ll also authorize the concerned personnel at our properties and the hotels or any other accommodation service provider registered with us to collect some additional proof of ID from the team leader of the group.
Limitation of Liability
OTDC has endeavored to ensure that all information on the Portal is correct, but OTDC neither warrants nor makes any representations regarding the quality, accuracy or completeness of any data or information contacted. OTDC does not make any warranty, express or implied, concerning the Portal and/or its contents and disclaims all warranties of fitness for a particular purpose and warranties of merchantability in respect of services, including any liability, responsibility or any other claim, whatsoever, in respect of any loss, whether direct or consequential, to any user or any other person, arising out or from the use of the information contained in this Portal.
Except in case of bookings made for Panthanivas, OTDC shall act in the capacity of an agent for all other hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by OTDC are issued subject to terms & conditions under which these services are provided by the respective agencies.
Although OTDC makes reasonable commercial efforts to ensure that the description and content in each page of Portal is correct it does not however take responsibility for changes that occurred due to human or data entry errors or for any loss or damage suffered by any user due to any information contained herein. Also, except in case of Panthanivas Bookings, OTDC is not a service provider and cannot therefore control or prevent or prevent changes in the published descriptions which are based upon information provided by the service providers.
